This general retention and disposal authority supersedes four functions in PROS 07/01 RDA for Common Administrative Functions – Financial Management, Contracting-out, Equipment and Stores and Fleet Management as well as activities related to grants and the acquisition and leasing of technology and telecommunications equipment.

A linking table connecting the superseded record classes from PROS 07/01 to their replacements in PROS 25/06 is available below.

Generally, records that have already been sentenced under PROS 07/01 do not need to be re-sentenced using this Authority.

The linking table indicates where there is an increase in the retention period from the classes in PROS 07/01.  In most instances this is a minor change – from 2 or 5 years to 7 years.  The retention of records documenting the storage of hazardous equipment is the one exception where there is a significant increase in the retention period.

Agencies may, based on the information in the linking table, choose to re-sentence records using this Authority.

The linking table also indicates the records previously identified as permanent across PROS 07/01 Functions 3, 4, 5 and 6 and Activities 2.10, 2.11, 19.1 and 19.13 that now have a temporary value.  These will not be accepted for transfer to PROV.
